Do you want to carry out research in the collection, request image material, discuss a loan or offer something to the collection? Below you will find the options, the conditions that apply and what we need in order to assess your request.

What can we help you with?

Choose the route that matches your question. Each page sets out exactly what we need and what we assess.

    For researchers, students, PhD candidates, journalists, documentary makers, authors, publishers, institutions and private individuals with a demonstrable research question.

    For the use of images in a publication, exhibition, website, documentary or teaching material. Prior permission is required; receiving a file is not the same as being allowed to publish it.

    For museums, heritage institutions, archives, libraries, education and knowledge institutions, and government bodies. Requests from private individuals are not generally processed.

    For anyone who wants to offer an object or archive item to the collection. Upon donation, the object becomes the property of Museum Maluku, which takes care of registration, preservation and, where possible, presentation.

How a request works

  1. Submit your request

    Describe as clearly as possible what you want to use the collection, the image material or a loan for.

  2. We assess your request

    We look at availability, copyright, the condition of the collection and the possibilities within our planning.

  3. We discuss the options

    If your request is possible, we discuss the practical arrangements and any conditions.

  4. Getting started

    Once arrangements have been made, you can make use of the agreed materials or services.

Prepare your request

The more complete your request, the faster we can assess what is possible. We ask for different information depending on the service.

Research
  • the subject and purpose of your research
  • the background of the research
  • any object numbers or parts of the collection
  • the desired research period
  • any deadlines or publication dates
  • how you intend to use the information

Assessed on: availability of the material, condition and accessibility of the collection, copyright or privacy restrictions, the scope of the request and our capacity.

Image material
  • the object or image you want to use
  • the purpose of the publication or the use
  • the medium (print, online, television, and similar)
  • the print run or expected reach
  • the desired publication date

Quality and resolution depend on the available source material and the intended use.

Loans
  • the name and contact details of the requesting organisation
  • the name of the contact person
  • a description of the exhibition or project
  • the location of the exhibition
  • the start and end date of the loan
  • a list of the desired objects, if known
  • an up-to-date Facility Report or information on climate control, security and exhibition facilities

Assessed on: availability, physical condition and fragility, historical and museum value, ongoing exhibitions or research, security and climate control at the receiving institution, safe transport and our capacity.

Without a purpose, timeline or point of reference in the collection, we cannot assess what is possible. We then have to ask further questions, which takes time.

Rights, costs and timeframes

Niet al het materiaal is vrij te gebruiken, en niet elke aanvraag is kosteloos.

A request is not a commitment
Submitting a request does not automatically mean it can be carried out or approved. The processing time depends on the nature and scope of the request.
A file is not permission
Making a file available does not mean that copyright or usage rights are transferred.
Who holds the rights
Copyright may rest with Museum Maluku, with the creator, their heirs or another rights holder. You arrange any additional permission from rights holders yourself, where this is legally required.
Image costs
Costs may be charged for supplying images or granting usage rights.
Loan costs
Costs arising from a loan are in principle borne by the borrower: transport, insurance, condition reports, packaging, any conservation work and courier accompaniment. These are agreed with you in advance.
Loan timeframe
Preferably at least six months before the opening date. For large-scale or international loans, we recommend allowing more time.
Other timeframes
Processing time varies depending on the type of request and its complexity.
Not everything is available
Material may be protected by copyright, sensitive for privacy reasons, not yet digitised, or not publicly accessible.

Frequently asked questions

Can all collection images be used freely?

No. Much of the material is protected by copyright, portrait rights or other rights. Prior permission from the museum is required for use.

Am I allowed to publish once I have received a file?

No. Making a file available does not transfer copyright or usage rights. These are assessed separately.

Can I borrow an object as a private individual?

Loans are intended for professional organisations with a public character. Requests from private individuals are not generally processed.

How far in advance do I need to request a loan?

Preferably at least six months before the opening date. For large-scale or international loans, we recommend a longer preparation time.

What does a request cost?

Costs may be charged for images and usage rights. For loans, the costs are in principle borne by the borrower. We agree what applies with you in advance.

How long does processing take?

This varies depending on the type of request and its complexity. For loans, the six-month timeframe above applies.

Is every request granted?

No. A request can be declined when an object is too fragile, when rights or privacy do not permit it, or when the circumstances do not offer sufficient guarantees.
