Privacy Policy explained

Museum Maluku attaches great importance to the protection of your personal data. In this Privacy Policy, we explain what data we collect, why we process it, how we handle it and what rights you have.
We process personal data carefully, transparently and in accordance with the General Data Protection Regulation (GDPR).

By using our website or services, you agree to the processing of personal data as described in this Privacy Policy.

Who are we?

Museum Maluku

Museum Maluku is responsible for the processing of personal data as described in this Privacy Policy.

What personal data do we process?

Depending on how you use our website or services, we may process the following personal data:

• Name
• Email address
• Phone number
• Address details
• Company details
• Payment details (for donations or purchases)
• IP address
• Browser and device details
• Preferred language
• Communication you have with us

• Data you provide yourself via forms, stories or submissions

What do we use your data for?

We process personal data solely for legitimate purposes, including:

• Answering questions.
• Processing donations.
• Inviting people to, and processing, rounds of thinking along.
• Processing ticket orders.
• Sending newsletters when you have given permission to do so.
• Organising events.
• Processing submissions for our Stories Module.
• Improving our website and services.

• Complying with legal obligations.

Stories Module

To share something through the Stories Module you create an account. For that we keep your name, your contact and address details and the contributions you add. You use that account to save a story, carry on writing later and find what you submitted earlier. You can see and change your data in your profile, and you can delete your account there yourself.

When you share a memory, story, photograph or other material through the Stories Module, you may be processing personal data about yourself or others. That applies to files you attach to your contribution as well.

By submitting a contribution you declare that:

• you are entitled to share this information with us;
• you have permission where other people are recognisable in an image or are named;
• your contribution may be used for collection management, research, education, exhibitions and publications by Museum Maluku.

Museum Maluku handles every submission with care. A contribution is first reviewed by a member of staff; not every submission is automatically made public or added to the collection. Whether your name appears with a published contribution is up to you, through what you fill in about yourself in the module.

Meedenkers and rounds of thinking along

If you sign up as a meedenker with Museum Maluku, we keep your name, your email address, the topics you want to think along about and your preferred language. We use that data solely to invite you to take part and to let you know what was done with the input.

This is separate from the newsletter. Signing up as a meedenker does not give us permission to send you marketing, and signing up for the newsletter does not make you a meedenker. You can unsubscribe from each separately, through the contact form or through the unsubscribe link in an invitation.

If you take part, we keep your answers. The questionnaires require you to log in, which makes your answer traceable to you; this is stated in advance on the page for that round. We never publish answers with a name. What becomes public is a summary of the main points, with quotations for which permission was given or which cannot be traced back.

We keep your registration as a meedenker for as long as you want and delete it on request. Answers from a round are kept until at most two years after the feedback is published; after that we delete them or make them untraceable.

Newsletter

When you sign up for our newsletter, we use your email address solely to send news, activities and developments from Museum Maluku.

You can unsubscribe at any time via the unsubscribe link at the bottom of every newsletter.

Donations and payments

When you make a donation or a purchase, we process only the data necessary for processing the payment, administration and any tax obligations.

Payments are processed via secure payment providers. Museum Maluku does not have access to full payment card details.

After your gift we send you a thank-you email. For a periodic gift you then sign the agreement digitally; if your signature is still missing after five days, we send you one reminder about it. These emails belong to your gift and do not ask you to give again.

You only receive the donor newsletter if you sign up for it and confirm your subscription. If you gave once and signed up, you may receive at most three emails about the periodic gift in the three months after your gift. You can unsubscribe under every email.

Cookies

Our website uses cookies and similar techniques.

We use cookies for, among other things:

• the proper functioning of the website;
• remembering preferences;
• statistics on the use of the website;
• improving the user experience.

For non-essential cookies, we ask for your prior consent via our cookie banner.

Who do we share data with?

Museum Maluku never sells personal data to third parties.

We only share data when this is necessary for our services, for example with:

• hosting providers;
• payment providers;
• newsletter services;
• IT suppliers;
• parties that support us in managing the website.

We enter into processing agreements with processors when this is legally required.

How long do we retain data?

We do not retain personal data for longer than necessary for the purpose for which it was collected, unless we are legally required to retain data for longer.

Retention periods differ per type of processing, for example for administrative or tax obligations.

When you search the collection on this website, we keep the search terms you type. We use them only to improve the collection search: they show what visitors look for and which searches find nothing. A search term is not linked to you: we keep it without an IP address, cookie or account, only as a count per day. After 90 days we delete the search terms and keep only anonymous counts. If we stop keeping search terms, we delete the stored ones straight away.

Your rights

You have the right to:

• see your personal data;
• have data corrected;
• have data erased;
• object to processing;
• withdraw consent;
• restrict processing;
• transfer your data to another organisation.

Would you like to exercise one of these rights? Use the contact form and choose "Privacy request (GDPR)" as the subject.

As a rule we respond within one month.

Security

Museum Maluku takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access or unlawful processing.

Our website uses secure connections (SSL/TLS) and we work exclusively with reliable suppliers.

Changes

Museum Maluku may update this Privacy Policy from time to time when legislation or our services change.

The most current version is always available on our website. We recommend that you consult this Privacy Policy regularly.
